We are seeking an organized Rooms Division Administrator to be responsible for the coordination of all room division requests and tasks. Ensures all office phones are always answered professionally (within three rings), and the appropriate follow-up to all calls is expedited immediately. This basic function also revolves around direct interaction between all the room division departments (housekeeping, front office, maintenance, and security) and the updating the room status in Opera/Alice. Maintains the rooms division checkbooks up to date. Creates a safe, comfortable, and friendly working environment to enable the team to deliver an outstanding overall level of service.
MAIN DUTIES AND RESPONSIBILITIES:

Daily assignment of room sections for housekeeping and engineering.
Responsible for communicating and directing staff of guest requests/preferences.
Ensure proper grooming of all staff by reminding them of name tags, uniform cleanliness
Read daily reviews and reports
Check all guest notes and comments in Opera so as to ensure proper rooms are being checked, messages are delivered to all staff concerning specific needs or to highlight special occasions
Attend and participate at morning standup
Log all necessary guest information in system with accurate details (concerning messages, gifts, amenities, etc)
Control all Alice tickets property wide and close them on a timely manner
Monitor arrivals and departures so it is known what stage room is in
Follow up immediately on SOS issues to ensure a remedy has been found, fixed or guest has been moved
Conduct outreach for a week ahead and add information to guest profile
Ensure clean and neat workspace
Walk VIP rooms and in order to check on the correct placement of amenities
Ensure clear handovers are left for next shift and an EOD report is sent daily to direct supervisors and GM
Ensure that any malfunctioning equipment and maintenance problems are reported and follow-up is given on a daily basis.
Answer all phone calls within three rings, record calls, dispatch calls, and complete follow-up on calls.
Communicate with other departments for guest requests and maintenance, follow up accordingly.
Responsible that all daily (housekeeping, engineering, front desk and maintenance) traces are closed in a timely fashion.
Print and read group wedding resumes
Monitor queues through the shift
Source vendors and equipments for engineering and security
Assist with the blocking of the house
Close all SOS by end of shift and follow up with departmental heads for resolution
Process all the Rooms division requisitions in Workday.
Ensure all supplies have been properly and timely ordered such as COVID necessities (masks, sanitizer, gloves)
Update check books based on orders placed.
Communicates with the purchasing department on status of orders and delivery.
Dispatch rooms division Alice tickets
Answering the security phones and radio in the absence of a security officer
Distribute equipment in the absence of a security officer
Covid screen team members and contractors in the absence of a security officer
Utilizes supplies efficiently to eliminate waste.
Follows recycling practices defined by El Encanto.
Use utilities and resources in a responsible manner to control wastage.
Communicate relevant information to the division, your line manager and across the rooms division, as appropriate.
Comply with safe working practices, Health and Safety policy and ensure accidents/defects are reported immediately.
Attend learning and development courses and complete eLearning modules, as required.

Requirements
High School diploma or General Education Degree (GED); or one to three years of related experience and/or training; or equivalent combination of education and experience. Hotel experience is required, preferably in a luxury setting.
In accordance with applicable law, El Encanto requires all new hires to be vaccinated with the COVID-19 vaccine. If hired, you will be required to provide proof that you have received the Johnson & Johnson vaccine or both doses of the Pfizer or Moderna vaccines prior to your first day of employment and are able to begin work and perform the essential functions of your job as of your first date of employment. Proof of vaccination may consist of (1) a vaccine card, (2) a picture of the vaccine card, or (3) other document from a healthcare provider indicating vaccination status.
