Job Description Summary

Located in Davenport CA, Swanton Pacific Ranch (SPR) is a 3,200 acre working landscape in north Santa Cruz County owned by the Cal Poly Corporation (CPC), and managed by Cal Poly’s College of Agriculture, Food, and Environmental Sciences (CAFES). SPR is an experiential learning center where Cal Poly students and faculty conduct research and educational programming related to critical ecological, economic, and social challenges facing working lands. A dedicated onsite team is charged with excellently managing SPR to fosters Cal Poly’s Learn by Doing philosophy through leading-edge practice and research in a resilient, sustainable, and accessible working landscape. The Administrative Assistant is a critical member of that team.

This position assists with administrative and clerical duties at Swanton Pacific Ranch. Work includes processing invoices; sourcing materials, supplies and vendors; soliciting bids; filing documents; orienting visitors; recording financial transactions, and uploading web material. The position will work 40 hours per week from an office at Swanton Pacific Ranch; schedule flexibility including some weekend work is expected. Onsite housing may be provided if available.

Term of Employment: the grant funding for this position ends March 2025, but if additional funding can be identified, there is an option for employment past that date.

Minimum Qualifications

Graduation from an accredited four-year university

Ability to perform complex duties

Proficient computer skills including word processing and spreadsheet

Ability to prioritize, plan, organize, and meet timelines

Ability to lead others in managing tasks; train and evaluate the performance of assigned personnel

Excellent verbal and written skills and the ability to interface with varied people including students, faculty, staff, and the public

Interpersonal skills using tact, patience, and courtesy

Ability to maintain regular and reliable attendance

Possession of a valid California Driver’s License and satisfactory driving record

A background check is required for all regular benefited positions

The person holding this position is considered a ‘mandated reporter’ under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment

Preferred Qualifications

Experience with public interaction in a business setting

Experience with social media and web page maintenance

Physical Demands

Hearing and speaking to exchange information in person or on the telephone

Dexterity of hands, fingers, and wrist to operate a computer keyboard and calculator

Seeing to read a variety of materials

Sitting or standing for extended period of time

Physical agility to lift 20 pounds to shoulder height

Commuting on an as needed basis to outside meetings and training locations

Typical Essential Functions

Processing invoices

Soliciting and processing bids

Filing documents

Orienting and communicating with visitors

Recording financial transactions

Uploading web material; reviewing web material for quality control.
Contact and vet vendors for various educational or Ranch maintenance related activities

Record and track financial and contractual transactions from initiation through finalization

File and organize documents as directed

Prepare, orient, track, and communicate with Ranch visitors

Post and update prepared marketing materials to website and social media

Perform other duties assigned

Subject to continued grant/center funding. This position ends March 2025, but if additional funding can be identified, there is an option for employment past that date. Position is located in Davenport, California and is benefit eligible.
