THE ROLE We are seeking a dynamic, organized, self-starter to join our team in a newly created role as a Floater in the mailroom of the Los Angeles office. In this role, an individual would provide administrative coverage for executives during absences of their administrative assistants. When not required to provide administrative coverage, other projects will be assigned within the mailroom.

RESPONSIBILITIES

Administrative support, including heavy scheduling/calendar maintenance, serving as primary gatekeeper by providing structure surrounding access to the Executives’ calendar. Maintain an awareness of Executives’ obligations, in order to proactively assist and/or anticipate needs.

Prepare and submit expense reports (via Concur) and invoices, coordinate travel, manage call logs, messages, and communication with internal clients/external partners, ensuring Executive responds in a timely manner.

Complete department projects as assigned.

QUALIFICATIONS

1+ years of administrative support experience in a professional environment. Background in Entertainment/ Media preferred.

Exceptional interpersonal, verbal, and written communication skills, while understanding the importance of maintaining a high level of discretion and confidentiality, strong follow-through, and attention to detail.

Demonstrated ability to be agile and excel in ambiguous situations

Strong command of the Microsoft Office suite and in particular Word, Excel & PowerPoint. Adept at quickly learning new processes and technology (i.e. Concur/Workday).

Ability to work well under pressure, meet tight deadlines, manage multiple projects/competing priorities, and maintain a sharp focus in a fast-paced corporate environment.

BS/ BA Degree preferred.
