We are looking for an experienced and talented
Project Coordinator to join the Gafcon team.
SUMMARY: The person in this position is responsible for coordinating duties in electronic document management; Office management including supply ordering, office maintenance, conference room scheduling; and integrated use of SharePoint and Unifier to track and monitor purchase orders and payments, prepare bid documents, track RFIs, submittals, transmittals, meeting minutes, daily reports, etc. Scan, file, update, upload and maintain related files and records (daily reports, change orders, payment requisitions, and other project related documentation) according to Gafcon standards
ESSENTIAL ACCOUNTABILITIES:

will have had some experience in the design and construction of educational facilities. The following are intended to be examples of the accountabilities for which the person in this position is responsible. This position description is not intended to be complete or all-inclusive and does not preclude management from assigning other or related functions if such functions are a logical assignment for the position.
Initiate project agreements and change management process within Unifier; review vendor invoices and all other supporting project documents for consistency and accuracy;
Project documentation (submittals, transmittals, RFIs, change management, payment requisitions, meeting minutes, schedules, etc.) will be processed through Unifier. Process all project documentation, primarily the receipt and distribution of submittals, RFI’s. Receive and process submittals in a timely manner. Coordinate submittal sample and/or shop drawing deliveries to architect. Monitor submittal and RFI review cycle and due dates to ensure integrity of the submittal log. Manage submittal and RFI log;
Scan, file, upload, maintain and distribute all project documents;
Monitor SharePoint project site; client and internal project calendars; workspaces for meeting minutes and document libraries; naming convention standardization
Interpret and maintain GCCCD’s policies and procedures, and standard practices and methods pertaining to project documentation;
Prepare correspondence, memos and reports; and communicate by telephone, fax machine, electronic mail and other media;
Initiate, review and follow-up on Purchase Orders (PO) for various vendors and/or suppliers;
Generate Bid Documents (including Legal Advertising, Addenda, Bid analysis, etc.);
Attend pre-bid conferences, job walks, bid openings, pre-construction and construction meetings;.
Prepare and edit meeting minutes;
Ensure adherence to project deadlines;
Track project changes and produce updates to Team; and
Compile summary updates.
QUALIFICATIONS:
Must possess a working knowledge of MS Office, including Excel, Outlook and Word;
Must possess internet skills to conduct research and navigate efficiently – necessary to work with SharePoint and Unifier;
Consistently demonstrates a strong customer service orientation;
Strong verbal and written communication skills, as well as excellent interpersonal skills;
Follows through on tasks to completion and asks questions when necessary;
Must be detail-oriented, organized and self motivated; • Is able to efficiently and effectively handle multiple and shifting priorities while meeting deadlines;
Ability to develop strong working relationships with construction team, contractors and consultants;
Ability to work effectively in a team-based, fast-paced environment;
Must be able to provide individual transportation to/from various job sites; some travel is necessary;
Four year degree or equivalent for on the job experience.

Must be able to use a computer keyboard and calculator. The ability to occasionally lift and/or move up to 10 pounds, generally at waist level or below. Must be able to do desk work which includes computer work and/or filing for extended periods of time. Specific vision abilities required by this job include close vision, distance vision and color vision and ability to adjust focus.

While performing the duties of this job, the employee works in a typical office environment and is occasionally exposed to moving mechanical office machines. The noise level in the work environment is usually moderate. Some travel to job sites and other offices is required. Must be able to travel and work extended schedule as needed.
