We are currently seeking a C4I Administrative Assistant to assist our AIT Project Manager on fleet modernization tasking. The selected candidate will be supporting our Systems Integrations department on various contracts such as Naval Information Warfare Systems Command and Naval Surface Warfare Center. The Administrative Assistant will support the Change Order Process while also providing a wide variety of additional administrative functions. This is a full time position located in our San Diego, CA office.
What You Will Do
Populate Change Order Requests and work closely with Project team to develop labor, materials, travel and ODC estimates. Maintains and organizes Change Order Tracker. Follows up on estimating requests. Attend meetings and updates managers on project status. Performs normal office functions such as setting up and maintaining files; interviewing callers and making proper referrals; arranging meetings and conferences; and receiving, referring, or answering mail. Gathers, compiles and reports on information relevant to supervisors assignment. Additional duties as assigned or required.
What You Must Have
Must have data entry and clerical/administrative experience.
Must be proficient with Microsoft Office Suite (Word, Excel, PowerPoint).
Familiarity with USN Shipboard and Shore-Based Policies and Procedures.
Experience supporting office administrative duties to include maintaining files.
Strong written and verbal communication skills.
Must be organized and detail-oriented.
Great organization & Self-driven.
Prior experience working on multiple projects and setting priorities.
Flexibility to switch jobs and tasks quickly and smoothly.
Must be able to obtain and maintain a DOD Secret Clearance.
Must be US Citizen.
High School Diploma or equivalent and 2 years experience.
Bonus Points For…
Familiarization with Bill of Materials (BOM) process a plus.
Experience working with SPAWAR/NIWC C4I Contracts preferred.
Surface ship, Shore and/or Submarine C4I technical hands-on experience preferred.
Having a current or active secret clearance or above a plus.
Physical Requirements
Job performance will normally require only minor lifting and carrying of boxes of records or equipment.
