This position is located at MCAS Miramar. Candidates selected for this position will serve as an Events Program Manager.
Major Duties
Reporting to the Director of Marketing, responsible for the over-all administration and effective management of MCCS Special Events. Plans and coordinates all phases of assigned events to include set up, day of event needs, and break-down. Develops, plans, implements, and manages comprehensive timelines, proposals, and event overviews. Prepares and proposes operating budget to support ongoing activities and projected special events. Negotiates and secures quotes with vendors to meet budget constrains while maintaining the integrity of the event.Preforms event-related administration and reporting including tracking event registration, internal status reports, meeting updates, briefs, invoice tracking, etc. Reviews and ensures adherence to project documents, contracts, and agreements. Supports Director in the development, implementation, and follow-up of additional marketing needs, including creation of supplementary marketing documentation (reports, timelines, project overviews/status documents, etc.) as assigned.Works closely with marketing team on all aspects of event promotion including requests for graphics, as well as digital and traditional marketing efforts. Offers creative and fresh concepts and ideas. Assists with social media efforts through content creation and communication to generate social community support to promote events and day-of event activities. Spearheads after-action event reports and recaps.Plans, organizes work, and manages volunteer, intern and internal staff, procedures, and resources to ensure maximum productivity and economies. Prepares internal office financial plans and related records and reports, and exercises authority on approved budget. Manages property resources needed for events. Develops long range plans aligned with internal operating directives.Serves as a Government Credit Purchase Card holder. Maintains and enforces security of funds, merchandise, supplies and equipment to preclude or minimize the potential for fraud, waste, and abuse.Responsible for purchasing supplies and products for special events. Ensures proper internal controls are applied when spending funds, purchasing supplies and equipment. Responsible for auditing credits, debits, and adjustments against purchases.Provides World Class Customer Service with an emphasis on courtesy. Assists customers and communicates positively in a friendly manner. Acknowledges customers, smiles and makes eye contact. Asks questions to determine, verify and solve problems. Checks for satisfaction on the quality of goods and services. Takes action to solve problems quickly. Alerts Director or proper point of contact for help when problems arise.Must be alert to substance abuse and take appropriate action. Effectively supports the Marine Corps Equal Employment Opportunity and Sexual Harassment policies, and ensures compliance with fire, safety and other environmental issues and programs.Develops and ensures implementation of an activity safety program in accordance with the Base Safety Program for Special Events. Advises event staff of safety regulations, instructions, materials, and equipment. Ensures safety training is provided to event staff. Promptly reports accidents to the Human Resources Office or Base Safety personnel. Complies with OSHA standards and takes action to correct unsafe or unhealthy working conditions.Performs other related duties as required.
Qualifications
Minimum of 3 years experience of demonstrated success in planning, organizing, and directing special events that include managing activities, food & beverage, event design, audio / visual and logistical needs for the event. Bachelor’s degree in Marketing, Communications, Public Relations, or Business, is preferred. Outstanding organizational and project management skills with a high attention to detail. Team player with a passion for creating world-class events and promotions, and success in managing internal and external client and vendor relationships. Knowledge of multiple social media platforms and ability to curate content, publish, and analyze effectiveness of social media marketing efforts, adjusting and adapting the strategy as needed. Must demonstrate strong strategic, analytical, and creative problem-solving to manage multiple projects and work assignments simultaneously. Strong oral and written communication skills that allow for effective collaboration and presentation of ideas and projects that inspire and motivate. This is a white-collar position where occasional lifting to 30 lbs. is required. The ability to work occasional weekend and evening hours is required.
