The Document Control Specialist works in the project management group and reports to the Lead Project Manager. This position will be responsible for the development, implementation, operation, and continual improvement of the document control system to support the project management team and associated project administrative tasks. The Document Control Specialist will work with project managers, project engineers, internal maintenance staff, and across various departments to create a centralized system that will facilitate document intake, revision history, transmittals, and project closeout at the end of a project cycle.
Essential Duties:
Assists in the overall design and implementation, and maintain the document control system that ensures the availability of documents to all individuals within the project team
Send and receive documents and transmittals
Organizing existing and new electronic and physical documents for a large mining and chemical plant and new capital projects, such as PFDs, P&IDs, design documents, equipment specification sheets & manuals, procedures, and various weekly and monthly project reports
Develop a system to track the status of issues, non-conformities, complaints, and corrective actions
Maintains RFI logs and track the status of RFIs and project change orders
Proposes and implement solutions to improve the efficiency of workflow processes

Interacts with various departments including, but not limited to, Project Engineering, Mining, Operations, Process Engineering, Process Development, Maintenance, Shipping & Warehousing, Analytical Lab, HR, HES, Procurement, Accounting, and IT
Works with a variety of individuals in a fast-paced environment. Proposes improvements and works with document originators and authors to improve document clarity, function, control of revisions, and transmittals
Other duties as assigned by supervisor and management
Basic Qualifications:
HS/GED
5+ years’ experience in document control with a project management team
Creating and managing folder structures and workflows in Microsoft SharePoint
Intermediate to advanced knowledge of Microsoft Office Suite applications (Outlook, Word, Excel, and PowerPoint)
Desired Qualities:
Bachelor’s degree (preferred)
Valid Driver’s License are required to drive company vehicles on property.
