Responsibilities
The position of Executive Assistant to the Chief Financial Officer will be based in downtown Los Angeles and will have two primary responsibilities: (i) provide administrative support to the Chief Financial Officer and another subdepartment leader and their team within the Finance department and (ii) coordinate the schedules and processes related to meetings of the Board of Directors and related committees.
Responsibilities include:
Schedule meetings and conference calls across time zones and departments; manage multiple fast-changing and complex calendars.
Coordinate quarterly Board of Directors and Audit Committee meetings including scheduling, managing deadlines, aggregating, proofreading, distributing, and posting materials to the Board portal; hosting in-person meetings.
Receive, prioritize, and route calls, emails, and mail to the appropriate personnel, including managing the Investor Relations mailbox and inquiries.
Arrange and prepare domestic and international travel arrangements/itineraries.
Prepare expense reports and reconcile against Amex statements.
Validate invoices, assigning billing codes and following up with vendors.
Own all meeting logistics including, but not limited to, RSVPs, room reservations, A/V arrangements and testing, food and beverage orders, space setup and takedown, materials assembly, and distribution.
Provide onsite hospitality, including the reception of guests and directing colleagues to resources and services.
Work independently on special projects under general direction of management, including coordination of finance town halls, department offsite meetings, special events and inter-departmental meetings.
Assist with recruiting processes by coordinating and scheduling interviews with candidates and the team and
Support new employee onboarding.
Qualifications
Minimum 10 years of experience supporting several executives within a financial services firm.
Proven ability to manage tasks with competing priorities and deadlines, independently determining order of priority and self-initiating other value-added tasks; and
Strong proficiency in Microsoft Word, Excel, PowerPoint, Outlook. Zoom and Teams
Experience with Diligent or online Board portal software is a plus

Education
Bachelor’s degree is preferred.
