Responsibilities:
Act
as an effective gatekeeper for the President & CEO on all correspondence
Screening
and prioritizing incoming emails and phone calls
Maintaining
a complex and ever-changing calendar of meetings and events
Coordinating
travel plans
Creating
documents such as reports, presentations, and company overviews
Generating
expense reports and approve invoices
Organize
and prepare for business and personal meetings and events
Collaborate
with internal team on high-level projects
Support
the CEO with a variety of tasks to keep him functioning at a high level, some
personal/household in nature
Support
other executives on a limited basis as needed
Support
to new store development: Research and planning, coordinate meetings and manage
progress
Maintains
project records for the entire duration of the project.
Facilitate
workers’ comp claims in a timely manner and maintain thorough documentation of
claim status and job accommodations as needed.
Maintain
employee records
Coordinate
training sessions.
Respond
to employment verification requests and EDD notices in a timely manner.
Assist
in the development and implementation of HR policies and procedures.
Assist
finance director in reconciling invoices and identify discrepancies
Assist
finance director in processing invoices and onboarding vendors.
Assist
finance director on tax payment deadlines
Correspond
with vendors as needed
Work
with OSHA and Local Health departments.
Maintain
business license compliance for all locations
Calendar
management: CEO Calendar, Business Calendar, Task Calendar
Receive
and process mail daily
Website
Management
Other
Tasks and responsibilities as assigned.
REQUIREMENTS
Qualifications:
2+
years in an administrative support or office management role within a fast-paced
environment or Associates Degree required. (Bachelor’s degree preferred)
Tech
savvy – advanced knowledge in Microsoft Office.
Dedication
to accuracy and thoroughness across all tasks- A to Z.
Poise
and professionalism at all times as you’ll be interacting with banks, vendors,
corporate staff and across all levels of the organization.
Ability
to multitask and prioritize effectively.
Excellent written and
verbal communication skills
