DESCRIPTION
The Executive Assistant reports to the CEO and is solely responsible to support the CEO in all his/her activities and initiatives. The Executive Assistant plays a key role in the overall functionality of Rancho Cielo, the ability to deliver on its mission, and run smoothly as an organization.
SUPERVISION RECEIVED AND EXERCISED
Receives supervision from Rancho Cielo’s CEO.
EXAMPLES OF ESSENTIAL DUTIES – Duties may include, but are not limited to, the following:
Reads and responds as needed to CEO’s emails, maintaining strict confidentiality.
Maintains the CEO’s calendar, schedules meetings, and coordinates events for the CEO.
Makes phone calls, writes emails or letters on behalf of CEO to donors, board members, elected officials, and community members.
Acts as liaison between the CEO and the Board of Directors.
Collaborates with CEO to ensure effective communication with Rancho Cielo staff
Coordinates and attends Board Meetings. takes minutes, creates draft agendas, creates, and distributes Board packets in advance of meetings.
Proofreads materials for the CEO to be seen by the public.
Manages and tracks CEO’s expense account.
Helps the CEO manage timelines and due dates.
Anticipates the CEO’s administrative needs.
Assists CEO to achieve effective organizational management.

Ability to:
Coordinate the work of team members.

Create spreadsheets and presentations.
Training and experience:
Possession of an Associate Degree and minimum of 2 years experience; or
5+ years of experience: or
Bachelor of Arts
Possession of:
A valid California Driver’s license

Noise level in the work environment is usually moderate.
The work environment is primarily in an office but walking around the Ranch on uneven surfaces is also required.
