ORGANIZATION
The mission of Ravenswood Family Health Network (RFHN) is to improve the health of the community by providing culturally sensitive, integrated primary and preventative health care to all, regardless of ability to pay or immigration status, and collaborating with community partners to address the social determinants of health.
POSITION SUMMARY
The EHR Project Specialist is responsible for providing ongoing Electronic Health Record (EHR) Support to clinic staff and patients, including troubleshooting, training, workflow development, and ongoing EHR Project support. This position focuses on optimizing EHR use and training within the clinic to decrease workload, increase efficiency, and improve satisfaction both from staff as well as patients. The EHR Project Specialist also oversees maintenance of the WELL Text Messaging system. This role also facilitates the transition of the Health Informatics SCIFs to ensure EHR Projects such as the patient portal and telehealth support do not have a lapse in coverage during the fellowship transition. This position assists in oversight of various intern and fellow positions when present (i.e. high school, collegiate, or post-baccalaureate positions).
DUTIES AND RESPONSIBILITIES
To be performed in accordance with RFHN Policies and Procedures
Ongoing/Daily:

Provides support to staff to navigate Epic question and issues, including troubleshooting, workflow development, or requested changes.
Submits and tracks JIRA support tickets with OCHIN to address issues or request new builds or changes.
Acts as a liaison between OCHIN, staff, and Ravenswood’s IT team to address issues within the EHR in a timely fashion
Acts as a resource for other Site Specialists in terms of triaging and addressing issues or collaborating on projects.
Assists with monitoring and responding to patient portal customer service queries multiple times per week, as well as interval audits and assessment of portal accounts.
Oversees the Health Informatics SCIF position and other interns, including supporting their onboarding and training and providing support for questions or issues.

Weekly:

Assists with the onboarding of new staff by creating Epic accounts, building provider records, and providing an overview of Epic during onboarding. Curates and maintains various profiles or pool lists within the EHR.
Provides support for use of the WELL system, including sending out patient outreach messages, updating message automations, and adjusting open times to align with clinic changes.

Monthly:

Conducts one-on-one sessions with Providers to help optimize their use of the EHR.
Reviews the monthly and quarterly Epic release notes and shares relevant updates with the affected teams, including presenting on these updates at the monthly provider meetings.
Assists with facilitation and administrative support for the monthly EHR Ops Team meeting.
Completes or facilitates UAT for new Epic updates, department builds, or other requested changes.
Chair of the Site Specialist group monthly meeting including assisting onboarding of new members, allocating work amongst Site Specialists, and serving as back-up to other Site Specialists at times.
Leads RFHN’s monthly (or as needed) standard meetings with OCHIN analyst(s).

QUALIFICATIONS

Completion of COVID-19 vaccine series and booster required.
Bachelor’s degree required.
Experience working with Electronic Health Records.
Experience with EPIC EHR highly desirable.
Strong organizational skills; detail-oriented; research skills.
Strong written and interpersonal skills.
Experience working in a multicultural setting.
Creative thinker and self-starter.
Skilled in word processing, databases, spreadsheets.
Comfortable working virtually (i.e. Zoom conferencing, remote work).
Basic data analysis and graph generation.
Ability to work flexible hours and to work independently as well as with a team.
Clean DMV record plus auto insurance.
Experience in nonprofit, the field of public health and/or healthcare preferred.
Strong public speaking skills preferred.
Bilingual English/Spanish or English/Tongan strongly preferred but not required.
