Position Summary

Organizes and coordinates office administration and procedures to ensure organizational effectiveness, efficiency, and producing reports as required. This includes management of office, kitchen, and janitorial supplies and management of janitorial services.
Responsible for overall front office activities, including the reception area, mail, some purchasing requests, small shipping internationally, and managing the facilities.
Responsible for providing arrangements for office meetings, tracking vacation and business absences, scheduling conference rooms, and organizing tradeshow and guest arrangements.
Assists all personnel when needed.

Key Responsibilities and Essential Functions

Serve as the point person for office manager duties including maintenance, mailing, shopping, supplies, equipment, bills, and errands.
Organize and schedule meetings and appointments in conference rooms.
Partner with HR to maintain office policies as necessary.
Provide general support to visitors.
Manages the reception area to ensure effective internal and external telephone and mail communications to maintain a professional image.
Supervises and coordinates overall administrative activities for the business.
Supports accounting by verifying invoicing and preparing for payment.
Sorts and distributes mail.
Participates as needed in special department projects for CFO and others.
Assist All Executives as needed.
Assist Accounting Department with Receivables, Payables, and filing.
Assist Logistics Department with incoming shipment administration.
Provide sales with reports as required.
Review time punches for semi-monthly hours.
All other job duties as may be assigned by direct supervisor or President.

Qualifications, Skills, and Education

Proven office management, administrative, or assistant experience.
Knowledge of office management responsibilities, systems and procedures.
Excellent time management skills and ability to multi-task and prioritize work.
Attention to detail and problem-solving skills.
Excellent written and verbal communication skills.
Strong organizational and planning skills.
Proficiency in MS Office. Knowledge of UPS and FedEx international shipping procedures.
Able to work independently with little or no supervision. Must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting an office of diverse people.
Experienced in handling a wide range of administrative and executive support-related tasks.

Job Type: Full-time
Pay: $60,000.00 – $70,000.00 per year

8 hour shift
