SmallTalk Pediatric Therapy is looking for a positive, bright, experienced site coordinator to join our team! SmallTalk Pediatric Therapy is a private, pediatric speech and occupational therapy clinic with three offices in the San Diego area. This position is the site coordinator at our El Cajon location. Site coordinators help children by gaining and maintaining rapport with the parents, scheduling services for the children, and empowering the families to continue therapy. Job Description
Provide exceptional customer service (primarily via phone and email communication) to ensure that families who are referred to SmallTalk Speech and OT have a smooth transition into services. You are the first person that greets the family when they come in for therapy and the person they go to when they have to cancel or reschedule and appointment, pay a bill, change their therapy schedule, or have a question about SmallTalk. This position sets the tone of support for all of the services that we provide.Qualifications

Experience in a medical setting, highly adept in a fast pace environment.
Exceptional people, computer, and communication skills (written and oral).
Extremely proficient in Word, Excel, Google Drive, Docs, Sheets, Forms, Gmail
Detail oriented, organized, and efficient.
Must be a self-starter with strong critical thinking skills and ability to handle timelines.
Comfortable in a busy, multi-tasking environment.
Warm and friendly personality.
Ability to organize people and things, keep records and follow a system
Like to work and be bonused on production
Positivity is expected.
Passionate about joining a professional team working to serve the needs of children and their families.

Duties and Responsibilities

Create and maintain a warm, safe and supportive environment in the clinic every day
Educate, instruct and communicate with parents regarding office policies, definitions within insurance, need for consistent attendance, etc.
Understand what insurance policies we accept, our authorization procedures and scheduling policies and be able to communicate those to families who call.
Arrange sick day coverage for your clinic therapists – absorption, reschedules within the week
Maintain multiple provider schedules -Making sure therapist schedules are full.
Maintain Waitlist/Priority List
Appointments time/date clearly communicated and documented accurately
Any communication needed to follow up rescheduling canceled appointments with families.
Communicate schedule changes and reason for changes with therapist in a timely manner
Handle multi-line and high volume calls and return messages in a timely manner.
Run “Missing Auth” report, mark schedule when there is no auth, Cooperate with Billing Specialist to get auth request to a corrected doctors phone number
Be aware and work with Billing Specialist to insure no kiddo is seen w/out authorization
Collect patients co-pays and past due balances, enter into RT accurately.
Clinic lobby kept in orderly manner throughout the day
Building maintenance – arrange for repairs when equipment malfunctions or repairs need to be made.
Ensure all employees in your clinic have keys and understand opening/closing instructions.
Place monthly supply order in a timely manner and maintain organization in the supply closet
Order monthly lunches for staff in-clinic chat
Maintain assortment of snack items for clinic
Coordinate and organize Clinic Culture days (Nacho Regular Friday, etc)
Recycle printer ink from your clinic
Oversee student volunteer in each clinic
Clean patient socks and restock
Assist co-workers and providers with misc tasks as needed
Ensure that HIPAA policies are enforced re: verbal communication, fax and phone
