About the Job
Under the general supervision of the Senior Personnel Analyst, the Academic & Staff Personnel Specialist will support the daily operations of the School of Natural Sciences Personnel Unit. This position, in coordination with the Personnel Unit team, provides analysis, research, and project management and supports the day-to-day functions of academic, staff & student recruitment, and other actions pertaining to Personnel. The incumbent applies professional UC Academic & Staff HR concepts, organization and/or system-wide policies, and procedures to guide supervisors and managers to resolve various academic human resources issues of moderate scope and complexity.
KEY RESPONSIBILITIES
Under general supervision, provides advice and guidance on academic & staff personnel policies and procedures, including the annual coordination of the APM 25, Conflict of Commitment & Outside Activities of Faculty, Saba performance management process, and records management.
Serves as the primary point of contact to faculty and staff hiring managers in coordinating all faculty and staff recruitments. Provides support services to faculty search committees and/or department chairs. Coordinates advertising and screening of submitted materials, tracks and maintains the recruitment budget, and reports to the Personnel Director as needed. Oversee Faculty Reimbursements.
Under guidance from the supervisor, counsels faculty and other academic staff concerning work related problems, work-eligibility (visa) matters such as J-1, H-1B, and Permanent Resident processing, and benefits considerations.
Serves as the intake coordinator overseeing the SNS personnel email account.
Oversees coordination of on-boarding of faculty, staff and student employees. This includes training plans, learn at lunches, webinar series, and educational outreach programs as needed. May be assigned other duties to support the School as needed.
Oversees the school’s undergraduate student employment program implementing policies and programs, wage and salary administration, and training. Will be responsible for processing timely actions and resolving any issues pertaining to recruitment, salary increases, extensions, and separations while working closely with Payroll Services.
Oversees the school’s Reader employment program, implementing the recruitment, appointment, and separation processes.
Qualifications
EDUCATION and EXPERIENCE
Bachelor’s degree and 1 year of directly related progressively responsible experience in a related field, or five years of equivalent experience/training. (Required)
CRITICAL KNOWLEDGE AND SKILLS
Basic knowledge of and ability to apply / interpret organization and college policies and procedures which govern academic HR.
Knowledge of organization, college and departmental formal and informal policies and procedures and understanding of variances to stated policies.
Knowledge of human resources management systems and other related business software programs and systems.
Knowledge of unit academic culture and educational goals of discipline(s) served.
Analytical skills to conduct analysis and develop recommendations to Chairs / unit management.
Demonstrated organization, problem solving, and communication skills.
