We’re hiring an organized administrative assistant to provide extraordinary customer service. Responsibilities include answering all phone calls and emails quickly and kindly, making existing office systems more efficient, buying materials for the office as needed, and planning travel arrangements and appointments for employees. Responsibilities should include, but are not limited to:
Producing information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
Staying organized and professional.
Organizing work by reading and routing correspondence; collecting information; initiating telecommunications.
Maintaining department schedule by maintaining calendars for department personnel; arranging meetings, conferences, teleconferences, and travel.
Completes requests by greeting customers, in person or on the telephone; answering or referring inquiries.
Maintaining customer confidence and protecting operations by keeping information confidential.
Preparing reports by collecting information.
Maintaining office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
Keeping equipment operational by following manufacturer instructions and established procedures.
Securing information by completing database backups.
Providing historical reference by utilizing filing and retrieval systems.
Contributing to team effort by accomplishing related results as needed.
Proficient in basic computer software and can quickly learn to use new programs
Proven track record of completing projects on time in an orderly manner
Customer service experience in our industry is preferred
High school diploma or GED required
Display excellent written, problem-solving, and verbal communication skills
